About Sparkle Studios ✨

Sparkle Studios is a product design studio where we create content, products, and apps that help people fulfill their potential. We’re Ali Abdaal and Izzy Sealey, and we’re looking for an exceptional Executive Assistant to join our close-knit team and help orchestrate the magic behind the scenes.

The Opportunity

We’re seeking a versatile and proactive Executive Assistant to work directly with both Ali and Izzy in a unique role that seamlessly blends personal and professional support. This isn’t your typical EA position – you’ll be at the heart of everything we do, from coordinating creative projects to ensuring our lives run smoothly so we can focus on what we do best.

Salary: Very competitive depending on experience – we’re willing to pay whatever it takes to get someone great in this role 🤑

What You’ll Do

📧 Communication & Coordination

  • Master email triage and correspondence management across personal and professional channels
  • Coordinate calendars, meetings, and scheduling with precision
  • Handle booking coordination for events, appointments, and professional engagements
  • Manage travel arrangements including flights, accommodation, and itineraries

🎬 Creative & Content Support

  • Capture behind-the-scenes photos and videos for social media and content creation
  • Support content production logistics and coordination
  • Assist with creative project management and execution

🏢 Operations & Environment Management

  • Ensure both home office and studio spaces are optimally stocked and organised
  • Coordinate with contractors, handymen, and service providers for office and home improvements
  • Manage procurement of office essentials, supplies, and equipment
  • Organise and coordinate in-person events and gatherings

What We’re Looking For 🔍

  • You’re able to speak and write fluent English. You’ll be ghostwriting some of our emails and messages, and potentially also getting involved with things like copywriting, blog post editing etc. If your written and spoken English is anything less than 100%, this isn’t the role for you I’m afraid.
  • You already live in Hong Kong, have a valid visa to work in Hong Kong, and are willing and able to work in-person from our office in Causeway Bay 5 days a week.
  • You’ve got really good organisational skills. You’re detail-oriented with strong systems thinking capabilities that allow you to create order from chaos and maintain it (seemingly) effortlessly.
  • You’re adaptable and curious. This role will require you to learn quickly and tackle a variety of challenges, often in the same day.
  • You’re tech-savvy. The ability to navigate and master various digital tools, apps, and platforms is essential for this position.
  • You exhibit discretion and trustworthiness. You’ll be handling sensitive personal and professional information that requires complete confidentiality.
  • You’re an autonomous worker. We need someone who thrives with independence and requires minimal supervision to get things done effectively.

Nice-to-Haves (but not requirements)

  • You’re able to speak Cantonese to the point where you can interact with the non-English speaking parts of Hong Kong, eg: ordering food delivery, making restaurant reservations, or coordinating with local service providers (eg: handymen, plumbers, electricians etc). Having this language ability is helpful for navigating daily tasks and building relationships in the local community.
  • You have an interest in personal development. This is what we love to talk about on the daily and what our content is about so it would be cool if you also vibe with this 🙂
  • You’ve seen / read / heard enough of our content to understand our brand voice and style.
