Executive Assistant (Hong Kong based)

My wife (Izzy) and I are looking for a full-time Executive Assistant based in Hong Kong to join the team. This is a hands-on, in-person role focused on managing our day-to-day operations and keeping everything running smoothly.

Salary: $300,000 HKD a year (pro-rata)

About The Role

As our Executive Assistant, you’ll be responsible for managing all aspects of our professional and personal administration. Here’s what you’ll be doing:

  1. Managing our personal + business email inboxes – triaging, replying to relevant stuff, flagging up urgent things that need our input. We get a lot of inbound messages and it would be nice to have a system whereby we can reply to most reasonable enquiries. We’d be aiming to get to inbox zero at the end of each working day.
  2. Scheduling calendar events – ad-hoc meetings, weekly and monthly team meetings, podcast appearances, blocking out time for recurring personal stuff (exercise, writing, coaching etc).
  3. Travel – Booking business and personal travel for both of us, including flights, transport, logistics etc.
  4. Helping us keep on top of iMessage / WhatsApp messages – ideally each day you’d look through our personal and work emails and messages, and figure out what we need to do about each of those.
  5. Event Planning & Coordination – Helping to organise meetups, workshops and events in Hong Kong and internationally. This includes finding and booking suitable venues, coordinating with vendors, managing guest lists, and handling logistics for both small gatherings and larger scale events.

We’re going to be honest: This job involves a lot of admin – booking flights, responding to emails, finding time on our calendars to do stuff, saying “no thank you” to various inbound requests, replying to more emails, ringing people up to organise stuff, replying to more emails etc. We’re looking for the sort of person who reads that list and thinks “HOLY SHIT THIS SOUNDS LIKE MY DREAM! I LOVE ORGANISING AND LOGISTICS AND ADMIN!”.

If that’s not your response to this job, please apply for a different job. We’re keen for someone in this role who absolutely loves doing (what we find) boring, tedious admin, and who can be 100x more organised than we are, and relishes the prospect of helping us sort our chaotic lives out.

Requirements

This position is right for you if…

  • You’re able to speak and write fluent English. You’ll be ghostwriting some of our emails and messages, and potentially also getting involved with things like copywriting, blog post editing etc. If your written and spoken English is anything less than 100%, this isn’t the role for you I’m afraid.
  • You already live in Hong Kong, and are willing and able to work in-person from our office in Causeway Bay when needed.
  • You’re super organised and love admin and logistics. Nothing slips through the cracks.
  • You’re good at figuring stuff out. You’re willing and able to learn new skills by using Google and YouTube and ChatGPT, and don’t shy away from responsibility.
  • You can handle multiple tasks simultaneously while maintaining high quality and attention to detail. You’re comfortable with juggling different priorities and can stay calm under pressure.

Nice-to-Have

These aren’t requirements, but would be really beneficial…

  • You’re able to speak Cantonese to the point where you can interact with the non-English speaking parts of Hong Kong, eg: ordering food delivery, making restaurant reservations, or coordinating with local service providers (eg: handymen, plumbers, electricians etc). Having this language ability is helpful for navigating daily tasks and building relationships in the local community.
  • You have an interest in personal development. This is what we love to talk about on the daily and what our content is about so it would be cool if you also vibe with this 🙂
  • You’ve seen / read / heard enough of our content to understand our brand voice and style.

Important Notes

  • This is an in-person role, and you’ll be working in person with us most weekdays in Hong Kong (depending on how full-time/part-time you are)
  • A few times a year (ish), you’ll join us in flying to a random place in the world for a team offsite (all expenses paid ofc). Take a look at some of the vlogs linked below for an idea of what goes on 🙂
